Make mass processes invisible – for example through automatic processing of ZUGFeRD files!

Nobody can afford to handle mass processes manually any more. Mass processes are particularly common in the property industry, as tasks often have to be carried out hundreds or even thousands of times for each individual accounting entity, each building or even each tenant. This quickly becomes confusing and time-consuming. Fortunately, we are getting closer and closer to fully automating such processes. Even today, many of our customers can hardly imagine how much time they invested in manual work steps just a few years ago. One of these customers is GWG Reutlingen. Today we would like to present one of these automated mass processes, namely the automatic processing of ZUGFeRD files thanks to our new condition uploader.

ZUGFeRD: the future of electronic invoice processing

Property companies often receive a flood of year-end bills from energy suppliers for gas, water or electricity at the turn of the year. These invoices come in two formats: a human-readable PDF and a ZUGFeRD file in XML format for digital processing. Previously, this information had to be entered manually in SAP^® – an extremely time-consuming process, especially when many contracts were involved. But with our solution, this is no longer necessary.

The condition uploader: efficiency at the touch of a button

Our new condition uploader processes these ZUGFeRD files automatically and is already in use at GWG Reutlingen. The files are simply uploaded to an FTP server, where the users then collect them. The uploader reads the information directly from the file and automatically creates new conditions in the SAP^® system, such as the invoice amount or the credit note and the discount for the next year. The employee no longer has to open each contract individually or process them manually, which is an enormous time saving. A message informs the employee whether the file has been processed successfully. Complete transparency is ensured by a log that documents the processed files – including information on who processed them and when, as well as their status. This allows customers to keep track of the progress of invoice processing at all times.

Future automation: even simpler

Currently, employees still collect the files from the FTP server themselves, but this intermediate step will also soon be automated. In future, the condition uploader will process the files fully automatically, without employees having to intervene at all.

GWG Reutlingen relies on automation

Our condition uploader is already being used successfully by one of our customers: GWG Reutlingen. In conjunction with their SAP S/4HANA^® system, the solution ensures that all incoming year-end invoices from energy suppliers are processed automatically and without errors. The result? A massive time saving and more efficiency in everyday working life.
