PROMOS DATEV interface – what is its purpose?
To be able to process accounting data from SAP® with the well-known software solution from DATEV, the data needs to be converted to a special format, predefined by DATEV. The PROMOS DATEV interface periodically exports the accounting data from the SAP® system, transforms it into an import format that DATEV can read and maps the source data so that it can be correctly read and processed on DATEV’s side. At first glance, this sounds simple, but given the various different tax codes, methods of calculating tax and a large volume of documents, it can become a real challenge. The special thing about the PROMOS solution is that, after the introduction and adaptation to customer-specific requirements, key users can make important settings themselves in Customising. This significantly simplifies the interplay between the tax advisors on DATEV’s and the customer’s sides.
Greater security in live mode thanks to local test file
If data from SAP® is transferred to DATEV in a live run, this is documented and codified in SAP®. It is not possible to perform another export without manually writing the data back to the system. However, it is not uncommon for tax advisors to find errors in the data format in the export files, for example because a tax was incorrectly retroactively calculated. Creating a local test file can help here. The tax advisor can take an advance look at the data and determine whether anything needs to be adjusted. This saves a great deal of time and effort, especially if there is a lot of document data.
NEW: Application for deleting a completed DATEV export run
If, despite completing a simulation and generating a local test file, the occasional error still occurs, the DATEV interface now offers a fast solution for this, too. A new tile enables a completed export run to be deleted and the system thus returned to its original status.
With the new “Delete DATEV export run” application, data that has already been exported can be rewritten.
Individual tax calculation made easy
The most important step when transferring data to the required DATEV format is determining the correct VAT values. The latest version of the DATEV interface includes various methods for this, of which different ones may be the best fit depending on the company in question. Thanks to a diverse range of customising options, customers can decide for themselves how the tax values should be determined. Extensive description texts help users make the right settings. The additional setting options were developed for the young, up-and-coming real estate company talyo. Property Services GmbH. Speaking about the new options, the responsible project manager on the customer’s side said: “We had very specific requirements for the tax calculation component of the solution. PROMOS was flexible enough to integrate these options into Customising for us. Now we have a solution that outputs precisely the values that we need. A particularly helpful feature for us is that we can make individual settings ourselves, so there’s no need to ask the PROMOS developers for help every time.”

Independently determine the tolerances for the tax calculation
When recalculating tax values, differences of a few cents often occur. How can this be avoided? Can the cent values be distributed or does the calculation have to be stopped and cross-checked down to the individual item? On the input screen for executing the export run, customers specify a tolerance up to which the cent values are automatically distributed. They also specify the type of processing here.
The tolerance range for deviations of a few cents in the tax calculation can be set on the clearly laid out input screen.
Better performance for large document data volumes
The larger the company, the more document data generally needs to be exported. In the past, the SAP® systems and their hardware reached their limits once a certain data volume was reached. For this reason, parallel processing was created to keep the processing time within reasonable limits. To do this, users specify a block size for group processing before executing the run. The data is then split and processed in parallel in the background, thereby significantly increasing the performance of the solution.
The block processing of document data helps the solution perform better.
An even better solution thanks to more features
Useful features and improved individual setting options for exporting accounting data to DATEV were developed in various customer projects. The creation of test files and deletion of live runs, improved tax calculations and increased performance – these are just a few of the ways that users benefit when utilising this popular tool.
