Alexander Bungardt, who leads the partnership with Planon at PROMOS, explains: “Our clients often face the challenge that, while they use individual tools for facility management or rental processes, these tools don’t communicate with each other. With the new solution, we connect building management and graphical representation with established SAP® processes, creating a seamless workflow.”


What does the solution offer?


Planon software provides extensive technical capabilities, which are particularly interesting for facility managers and technical directors of real estate companies. A key element of Planon software is the graphical representation of buildings. It allows buildings to be digitally mapped, including all technical installations such as outlets, air conditioning units, or desks. Technically, the solution is capable of processing CAD and BIM files graphically. In this way, users can navigate through their properties in a 3D model – the digital twin – on their PCs and manage them efficiently. Additionally, digital workplace management, including the exact representation of all desks and their equipment, is part of the solution portfolio. IoT components can also be integrated, allowing, for example, a smart air conditioning system in a “smart building” to be directly maintained through the system.


PROMOS complements these functions with the mapping of all business processes, such as tenant management, invoice receipt, or accounting processes. PROMOS also offers the flexible integration of mobile apps tailored to customer needs. This can range from quality management and safety solutions to connecting tradespeople. The added value comes from the close integration of both systems: “Our solutions mesh seamlessly. It’s like a puzzle, where all the pieces fit together. On one side, we have Planon’s building management, and on the other, SAP® as a strong business foundation for core processes,” says Bungardt.

How does the solution help concretely?


By combining Planon and PROMOS, processes are not only simplified but also error rates are reduced. Manual data transfers are no longer necessary, as everything happens digitally and in real-time. This automation leads to significant time savings. “Customers benefit from a unified solution that not only allows for the graphical management of buildings but also integrates all business processes. For example, the maintenance of an elevator is directly linked to invoicing and the associated contracts,” explains Bungardt.


A growing demand in the market


Resonance from the market shows that a solution like this was long overdue. Many customers had been looking for an integrated solution that would streamline both building management and business operations. PROMOS and Planon now offer this for the first time in a unique partnership. “There are other CAFM solution providers, but no one offers automatic integration with SAP®. And it’s exactly this, that gives our customers confidence. They know they’re getting a solution from a single source that covers all their needs,” Bungardt adds.

The partnership between PROMOS and Planon is still young, but both companies already see that their compass is pointing in the same direction. Bungardt notes with satisfaction: “It’s become quite the buzzword, but ‘partnership at eye level’ really hits the nail on the head for me. And we want to deepen that even further in the future. We don’t just want to offer solution components together, but also root product development together to tailor the solution even more to market needs.”

PROMOS brings over 26 years of SAP® experience to the partnership. This long-standing expertise enables them to support clients at every stage of the process – whether it’s during implementation or the continuous development of the solution. What’s especially noteworthy is the flexibility that PROMOS and Planon offer their clients: “Whether a company is already using SAP® or wants to migrate, or whatever functionalities they need, we can address all requirements and guide the customer through the process,” emphasizes Bungardt.


Outlook: From Commercial Clients to the Residential Sector


Currently, the partnership primarily focuses on commercial enterprises, such as companies that own office buildings, warehouses, or manage shopping centers. However, residential companies could also benefit from this solution in the future. PROMOS plans to expand its partnership with Planon and also allow residential companies to take advantage of a specialized CAFM solution. The digital building twin is already being used in the real estate industry today, but SAP® currently does not provide a solution for this need. PROMOS will soon be equipped to meet this demand effectively.
